How Long to Keep Pest Records in Vietnam

The required retention period and the useful one are different numbers. For most businesses here, the useful one is three years.

Somebody eventually asks how long the folder needs to be kept, usually while trying to clear a cupboard. The answer depends on what kind of site it is, and the practically useful period is generally longer than any minimum.

What follows is a working guide rather than legal advice, and where a specific certification scheme or customer contract applies, that document governs.

Food businesses

Food safety schemes commonly expect records to be retained for a period related to the shelf life of the product plus a margin, and in practice a two-year minimum with three years preferred covers most situations in Vietnam.

The reason to prefer three is audits. A certification audit typically looks back over the current cycle, but a customer audit or an investigation may look further, and a site that can produce three years of consistent records is in a materially stronger position than one that can produce eleven months.

Factories and warehouses

Where the site supplies an international customer, the customer contract usually specifies retention and frequently asks for three years. Where it does not, three years remains the sensible default, because it covers a full audit cycle plus the period in which a complaint about a specific shipment might arise.

Landlords and residential property

There is no scheme requirement, and the useful period is the length of the tenancy plus at least two years — long enough to cover a deposit dispute and long enough to establish whether a recurring problem spans tenancies.

Termite inspection reports for ground-contact property are worth keeping permanently, because the value is in the comparison. A report from six years ago showing no activity is what makes a report today meaningful.

Households

Keep treatment reports for the duration of your tenancy plus a year, primarily as evidence for the deposit conversation. If you own the property, keep them permanently for the same reason a landlord does.

What to keep, as distinct from how long

Service reports, the trend analysis, corrective action records, the device register and plan revisions, contractor documents and product data sheets. Invoices are useful corroboration and are not the record — an invoice proves payment rather than what was done.

The one thing worth keeping beyond every retention period is the annual summary, if you produce one, because it is small and it is the document that lets a new manager understand five years of history in ten minutes.

Format and this climate

Paper does not survive a Ho Chi Minh City kitchen or store room. Photograph or scan every paper report on the day it is issued, and keep the digital copy as the record with the paper as a temporary artefact.

Auditors in this market accept digital records routinely, provided they are organised, complete and readable. What causes difficulty is not the format but records spread across three people\x27s personal accounts, which is functionally the same as not having them.

There is a second reason to keep records longer than any minimum, and it has nothing to do with audits. Pest problems in buildings recur on multi-year cycles, and the only way to distinguish a new problem from an old one returning is a record of the old one. A store room with activity in 2023, 2025 and now is telling you something a single current report cannot, and that information is usually worth more than the compliance value of the file.

The handover problem

Records are most often lost when a quality manager leaves or a contractor changes, not when a retention period expires. A file held in one named person\x27s inbox disappears with that person.

A shared folder with a stated owner by role rather than by name is the fix, and it is worth doing before the person leaves rather than after.

Common questions

Does the contractor keep copies as well?

Established contractors do, and it is worth confirming rather than assuming, because a contractor archive is what rescues a site that has lost a year of reports. It is also worth asking how long they keep them and in what form, since a contractor who holds records for two years is not a substitute for keeping your own for three.

Can we shred the paper once it is scanned?

For practical purposes yes, provided the scan is complete, legible and includes any signature. In this climate the scan will outlast the paper regardless. Where a specific customer contract requires original signed documents, that contract governs and is worth checking once rather than assuming.

What if we are missing a year from before we took over?

Say so, and say when your records begin. A stated start date with a complete file afterwards is a defensible position; an apparent gap in the middle of a claimed continuous history is not. Where the previous contractor still exists, it is worth one request — they may hold what you cannot.
