What a Pest Control Quotation Should Tell You

A one-line quotation cannot be compared with anything. Seven items — target pest, areas, method, number of visits, warranty, what you must do, and what is excluded — make two quotes comparable.

A quotation that says "pest control treatment — 1,500,000 VND" cannot be compared with anything, including a quotation for 2,200,000 VND from another company. Neither tells you what is being bought.

Seven items make two quotations comparable, and any company can supply all seven.

The seven items

  • The target pest, named by species where it has been identified
  • The areas covered, listed — kitchen, bathrooms, balcony, exterior perimeter, and so on
  • The method for each pest: gel bait, residual treatment, trapping, source reduction
  • The number of visits included and the interval between them
  • The warranty or follow-up period, and what triggers a free return visit
  • What you are required to do: preparation, and what not to clean afterwards
  • What is excluded: proofing work, drainage repairs, second premises, out-of-hours attendance

Why the cheapest quotation is often the largest

A single-visit quotation against an established cockroach population is cheaper than a two-visit quotation and will usually need a second visit anyway, at full price, four to six weeks later. The total is higher and the problem has had another month to spread.

The same applies to a quotation that excludes the exterior on a townhouse where the source is outside, or excludes the drainage where the drainage is the route.

The exclusions are where quotes really differ

Two quotations can look thirty per cent apart and be identical once you read what each excludes. Proofing is the usual one: sealing pipe penetrations, fitting door sweeps, replacing drain covers. It is often the work that decides whether the treatment holds, and it is often not in the price.

Ask specifically whether proofing is included, quoted separately, or expected to be arranged by you.

For commercial quotations, four more

  • The number and type of devices, and who owns them at the end of the contract
  • The reporting format and whether trend data is included
  • Response time for an urgent call-out, and whether it is charged
  • What documentation is supplied for an audit file

A quick test before you sign

Read the quotation and ask yourself whether you could tell, three months from now, whether the company did what it promised. If the answer is no because nothing in the document is specific enough to check, that is the thing to fix before the price.

A supplier who responds to that request by adding detail is one worth having. A supplier who responds by lowering the price has told you what they think they are selling.

How prices are usually built here

Most quotations in Ho Chi Minh City combine a call-out element with an area element: a base figure for attending, plus an amount related to the size of the property. Complexity adjusts it — a restaurant kitchen takes longer per square metre than an empty office.

This is why a price per square metre alone is misleading for a small property: a studio apartment does not cost a fifth of a five-bedroom house, because the base element does not shrink.

What changes the price legitimately

  • Species: bed bugs and termites are more work than ants
  • Extent: one room versus a whole property
  • Number of visits included
  • Access and timing: night or weekend work in a commercial property
  • Whether proofing work is included
  • Documentation requirements for a commercial file

If a price rises after the inspection, one of these should explain it, and the explanation should be specific.

Getting a comparable second quotation

Give the second company the same information: the species if it is known, the areas, and the property size. Ask both for the seven items. The comparison then takes five minutes rather than being a guess between two numbers.

It is also reasonable to tell a company what another has quoted and ask what is different. A supplier who answers by explaining scope is being professional; one who simply matches the number has told you the first figure was arbitrary.

Payment terms and what they signal

For a household treatment, payment on completion is normal. A demand for full payment in advance for a multi-visit programme is worth questioning, because the follow-up visit is the part most often not delivered and prepayment removes the only leverage you have.

For commercial contracts, monthly or quarterly payment in arrears against delivered reports is the standard arrangement. It aligns the payment with the evidence that the work happened, which is exactly what the reports are for.

Invoices, tax and what a business needs

For a company, ask at quotation stage whether a VAT invoice is issued and whether the price shown includes tax. Quotations from smaller providers here often exclude it, which changes a comparison by ten per cent.

A business also needs the invoice to describe the service in a way that matches the contract, particularly where the cost sits in a food safety budget or has to be shown to an auditor as evidence of a programme.

Ask for the invoice to name the premises and the period covered rather than simply saying "pest control service". An invoice that cannot be matched to a site and a month is difficult to use as evidence of anything, and reissuing it later is always harder than getting it right at the time.
